Why manual dues collection breaks down
Collecting dues by hand usually looks the same in every association. Someone updates a spreadsheet, sends payment instructions by email, checks bank statements, writes receipts and sends reminders one by one. When that person is busy or leaves, the process stops and nobody knows exactly who is up to date.
The result is predictable: late payments, members who never receive a reminder, receipts that take days to arrive and a board that only sees the numbers at the end of the year.
How dues billing works in Assocializa
Dues billing is part of every plan, starting with Essential.
- Set up your member categories. Full members, students, associates or any category your association uses, each with its own dues, annual or monthly.
- Charges are generated by category. Each member receives the charge that matches their category, without anyone building lists by hand.
- Members pay online. They pay from their member portal, and can choose recurring payments when that option is available.
- Reminders go out on your schedule. Your association decides when reminders are sent, before and after the due date.
- Receipts and history update on their own. As soon as a payment is confirmed, the receipt is available in the member portal and the payment history shows who is up to date.
What changes for your team
- No more matching bank statements against a spreadsheet to find out who paid.
- No more writing and sending receipts by hand.
- A clear view of who is up to date, pending or overdue, ready for board meetings.
- Less dependence on a single person who knows how the process works.
What changes for your members
- Paying takes a few minutes, from any phone or computer.
- Receipts are always available in their portal, whenever they need one.
- Reminders arrive before the due date, not after a long silence.
Which payment methods are available
Payment methods depend on your country and on the payment provider your association uses. In Brazil, members can pay by Pix, boleto or card. Our international clients collect dues by card in US dollars. Tell us where you operate and we will show you exactly what is available today.
Practical tips to reduce late dues
- Keep categories simple. Fewer categories with clear rules are easier to explain and to bill.
- Set a predictable calendar. Members pay more on time when the due date is the same every year.
- Remind before the due date. A friendly reminder a few days before works better than a collection email weeks later.
- Offer recurring payments when possible. Members who opt in do not need to remember.
- Show the value of membership. Use your news and events to remind members what their dues make possible.
Included in the Essential plan
Dues billing, payment history, receipts and the member portal are all part of the Essential plan, for USD 60 per month, with no setup fee and no lock-in contract.
