Membership database: what your member records should hold

A membership database is the central record of who belongs to your association, in which category and with what status. A good one also keeps each member's documents and payment history and drives billing and communication, which is what Assocializa does on every plan, starting with Essential.

Membership database: what your member records should hold

A membership database is the central record of everyone who belongs to your association: who they are, which category they belong to, where they stand with their dues and how to reach them. A good one does more than store names. It bills dues by category, keeps every payment on the member record, sends the right message to the right members and controls who on your board sees what. That is what Assocializa, association management software by Softaliza, does on the Essential plan, for USD 60 per month.

What is a membership database?

A membership database is the structured record of your members and everything your association needs to know about them. In many associations it starts as a spreadsheet. That works for a while, then the problems appear: duplicate rows, outdated emails, payment status kept in a different file and nobody sure which version is current.

The difference between a spreadsheet and a real membership database is not where the data is stored, but what the data does. In Assocializa, the member record is connected to dues billing, the member portal, the digital membership card and member communication, so every module works from the same record and nothing is typed twice. The database is the core of any membership management software.

What a good member record holds

Whatever software you use, each member record should answer the same questions at a glance:

  1. Identification and contact details. Name, email, phone and address, which members can keep up to date themselves in the member portal.
  2. Member category. Full member, student, associate, retired or any category your bylaws define.
  3. Status. Whether the member's dues are up to date or pending.
  4. Category fields. Information that only some categories need to provide, such as a professional license number.
  5. Documents. The files your association requires, such as proof of enrollment for students.
  6. Payment history. Every charge, payment and receipt, attached to the member.

If a piece of information has no clear use, leave it out. A short record that is always correct is worth more than a long one nobody maintains.

Categories with their own fields and required documents

Member categories are where spreadsheets fall apart, because different categories need different information. In Assocializa, each category can have its own custom fields and its own required documents. For example:

  • Students can be asked for their institution and proof of enrollment.
  • Full members can be asked for a professional registration number.
  • Retired members can be asked for the document your bylaws require for that category.

Categories also drive dues. Charges are generated by category, annually or monthly, with optional recurring payments, so a student and a full member each receive the charge that matches their category. Read more in our guide to automated dues billing.

Find anyone in seconds: filters and Excel export

A membership database is only useful if you can get answers out of it. In Assocializa you can filter members by category, status and city, and export the result to Excel. Typical uses:

  • The list of members with pending dues before the annual assembly.
  • The members in one city, for a regional meeting.
  • All members of one category, for a board report.

Payment history on every record

Every charge and payment stays attached to the member record, and members see their own payment history and receipts in the member portal. Reminders go out on the schedule your association configures, before and after the due date, and donations from members and from the public are recorded too.

This is what turns a list of names into a working tool. When the treasurer asks who is up to date, the answer is already there, and the tracking dashboard shows the overall picture.

Communication from the same database

Because email goes out from the same platform, your mailing lists come straight from the member records:

  • Segmented email. Email members from the dashboard and send each message only to the members it concerns, such as a single category.
  • Automatic notifications. Welcome messages for new members, due date notices and birthday greetings go out on their own.
  • Digital membership card. Each member carries a card with a QR code that shows their status in real time, and can add it to Apple Wallet or Google Wallet. See our guide to digital membership cards.

Who sees what: board permissions per module

Boards change, and not every board member needs to see everything. In Assocializa, permissions are set per module, so the treasurer can work on dues, the secretary can manage member records and a new director only sees what their role requires. When the board changes, you adjust permissions instead of sharing passwords or sending spreadsheets around.

Data protection

Member data is personal data, and your membership database should treat it that way.

What the platform does

The platform follows Brazil's General Data Protection Law (LGPD). Access is controlled by board permissions per module, documents stay inside the member record, and if you ever leave, you can export your data in an open format.

What your association should do

Good practice on your side matters as much as the software:

  • Collect only what you use. Every field and document should have a purpose.
  • Limit access. Give each person only the modules their role requires.
  • Keep documents in the record. Files sent by email end up in personal inboxes; files in the member record stay under your association's control.
  • Let members correct their data. Members update their own details in the member portal.

If other data protection laws apply to your association, include them in your evaluation and bring your questions to our team before you migrate.

How to move from a spreadsheet to a membership database

  1. List your categories. Write down each category, its dues and whether it is billed annually or monthly.
  2. Define fields and documents per category. Decide what each category must provide, and drop what nobody uses.
  3. Clean the spreadsheet. Remove duplicates and mark who is up to date.
  4. Send us your data. Our team migrates your spreadsheets or an export from your current system.
  5. Invite members to the portal. Members check their details, see their payment history and find their membership card in the member portal.

What it costs

The membership database is part of every plan, starting with the Essential plan at USD 60 per month, a fixed price whatever the number of members. Every plan includes human support, hosting, updates, data migration and a dedicated WhatsApp group with our team. There is no setup fee and no lock-in: you can cancel with 30 days' notice and export your data in an open format. When you need cash flow, online voting or events, you can upgrade anytime. Frequently asked questions

What is a membership database?

Can I export the membership database to Excel?

Yes. You can filter members by category, status and city and export the result to Excel, for example for a board report or a regional meeting.
