What is association management software?

Association management software (AMS) is the system a member-based organization uses to run its membership in one place: member records, dues and payments, communication, events and reports for the board. Association management software, defined

Association management software (AMS) is a system that brings the core work of a member-based organization into one place: the membership database, dues billing and payments, communication with members, events and the reports the board needs. Instead of a spreadsheet of members, payment links sent by email, receipts made by hand and a separate mailing list, everyone works from one member record that every part of the system shares.

The word "association" matters. An AMS is built around members: people who belong to a category, pay dues on a cycle, need to show they are up to date and expect their organization to keep them informed. That is what separates it from general business software.

Who uses association management software

An AMS fits organizations whose reason to exist is their membership:

  • Medical and scientific societies
  • Professional associations
  • Unions and federations
  • Clubs

It is not the right software for homeowners' or condo associations, which manage properties, units and shared costs. Assocializa is built for member-based organizations and does not manage condominiums or homeowners' associations.

What an AMS does

Associations usually look for an AMS to handle six jobs. Here is what each one means in Assocializa.

1. Keep one membership database

Every member has one complete record, organized by category, with custom fields, documents per category and the full payment history. You filter by category, status or city and export to Excel. This is part of every Assocializa plan.

2. Bill and collect dues

Dues are generated by member category, annually or monthly, with optional recurring payments. Reminders go out before and after the due date, on the schedule your association configures. Our guide to automated dues billing shows the full flow.

3. Give members a place of their own

In the member portal, members pay dues, see their payment history and download receipts. They also carry a digital membership card with a QR code that shows their status in real time and can be added to Apple Wallet or Google Wallet.

4. Communicate with members

You send segmented emails from the dashboard, and automatic notifications cover welcome messages, due dates and birthdays. On the Advanced plan, a news timeline lets the board post updates that members comment on, and a moderated community forum keeps discussions in one place.

5. Run events, courses and elections

On Advanced, you create courses, activities and events with their own page, online registration and automatic member pricing, plus an integrated calendar with reminders and certificates in the member portal. Online voting is auditable, with secret ballot, audit trail and automatically generated minutes. Premium adds abstract management with single or double blind review, event check-in and the Academy for recorded courses, live webinars and learning paths.

6. Keep the board informed

A tracking dashboard shows where membership and dues stand, and board permissions per module let you decide who can access each area. On Advanced, full cash flow adds income, expenses, categories and an annual target.

AMS vs CRM: what is the difference?

A CRM (customer relationship management system) is built to manage sales: leads, deals, pipelines and conversations with customers. An AMS is built to manage membership. Both keep records of people, which is why associations ask whether a CRM is enough.

The difference shows up in what happens around the record:

  1. The record. In a CRM, a contact moves through a sales pipeline. In an AMS, a member belongs to a category with its own dues and documents, and their status follows their payments.
  2. The money. A CRM tracks deals. An AMS bills dues by category, records every payment and keeps receipts attached to the member.
  3. The member's side. A CRM is used by your staff. An AMS also serves your members, with a portal, a membership card and, depending on the plan, events, courses and voting.
  4. Governance. Associations elect boards and approve decisions together. An AMS can include auditable online voting with automatically generated minutes, which a sales CRM is not designed for.

A CRM can be adapted for members with custom fields, but dues cycles, receipts, the member portal and the membership card then become a project of their own. Is association management software free?

Assocializa is not free. Our plans start at USD 60 per month, and each price is fixed for your association, whatever the number of members:

  • Essential, USD 60 per month: member portal, member records, dues billing, donations, the digital membership card, segmented email and the tracking dashboard.
  • Advanced, USD 120 per month: everything in Essential, plus full cash flow, online voting, courses and events, a document library, a news timeline, a community forum and an online store.
  • Premium, USD 200 per month: everything in Advanced, plus abstract management, event check-in, the Academy, a native iOS and Android app and a REST API.

There is no setup fee. Every plan includes human support, hosting, updates, data migration and a dedicated WhatsApp group with our team. How to choose association management software

  1. List your member categories. Write down each category and how its dues work: amount, annual or monthly, and which documents you need from members.
  2. Check payments in your country. Payment methods depend on your country and your payment provider, so confirm what your members can use.
  3. Separate what you need now from what comes later. Most associations start with member records, dues and the member portal, then add events, voting, courses or an app.
  4. Compare the total cost. Look at setup fees, per-member pricing, modules and support, not only the monthly price.
  5. Plan the migration and the exit. Ask who moves your current data and how you get it back, in an open format, if you leave.
