What nonprofit membership software does
For a nonprofit with members, membership software has three jobs: know who belongs to the organization, bring in money through dues and donations, and show the board where things stand at any moment. Events, voting and courses build on top of that.
Assocializa is built for member-based organizations, such as medical and scientific societies, professional associations, unions, federations and clubs. If your nonprofit has members, it fits your daily work: categories, dues, donations and a board that needs clear answers.
Signs your nonprofit has outgrown spreadsheets
- Members, donors and volunteers live in different files, and nobody is sure which list is current.
- Someone matches bank statements by hand to find out who paid dues or made a donation.
- Receipts go out only when one person has time to write them.
- Board reports are rebuilt by hand before every meeting.
- Reminders go out late, or not at all.
If two or more of these sound familiar, it is time to move your membership to a dedicated platform.
Members, donors and volunteers in one database
Many nonprofits keep members in one spreadsheet, donors in another and volunteers in a third. In Assocializa, they live in the same database, organized by category, so your team works from one list and the board sees one picture.
Members
Each category, such as full members, students or associates, has its own dues, annual or monthly, plus the custom fields and documents you need for it. Every record keeps the member's full payment history.
Donors
Donations come from members and from the public, on every plan. Supporters who give regularly can also be registered as a member category, with their own record and custom fields. Our guide to accepting donations has tips for a successful campaign.
Volunteers
Volunteers can be a member category too, with the custom fields and documents that matter for their work. Your team can then filter them, email them and export them like any other group.
Dues and donations with less manual work
- Dues by category, annual or monthly, with optional recurring payments.
- Reminders before and after the due date, on the schedule your organization configures.
- Payment history and receipts in the member portal.
- Donations from members and the public.
Payment methods depend on your country and on the payment provider your organization uses. In Brazil, members pay by Pix, boleto or card. Our international clients collect dues by card in US dollars through Stripe, and for other countries our team confirms what is available. See how automated dues billing works step by step.
Transparency for your board
A nonprofit board answers to its members and, often, to its donors. The software should make every answer easy to find:
- Tracking dashboard. Members, dues and payments in one view, on every plan.
- Payment history on every record. Any question about a member's dues has an answer.
- Filters and export. Filter by category, status and city, and export to Excel for board reports.
- Board permissions per module. You decide who on the board can access each area.
- Full cash flow (Advanced). Income, expenses, categories and an annual target.
- Auditable online voting (Advanced). Secret ballot, audit trail and automatically generated minutes.
- Documents and library (Advanced). Bylaws, minutes and reports, available to members whose dues are up to date.
Keep members engaged
Every plan includes the tools to stay in touch:
- Segmented email from the dashboard.
- Automatic notifications for welcome messages, due dates and birthdays.
- A digital membership card with a QR code, real-time status and an Apple Wallet or Google Wallet pass.
On Advanced, a news timeline lets the board post and members comment, a moderated community forum hosts discussions, and events and courses come with online registration, member pricing and certificates in the member portal. On Premium, the Academy offers recorded courses, live webinars and learning paths, and your organization gets a native iOS and Android app with its own name and icon and push notifications.
What it costs
Every price is fixed for your organization, whatever the number of members:
- Essential: USD 60 per month
- Advanced: USD 120 per month
- Premium: USD 200 per month
There is no setup fee. Every plan includes human support, hosting, updates, data migration and a dedicated WhatsApp group with our team. There is no lock-in: you can cancel with 30 days' notice and export your data in an open format, and you can upgrade or downgrade anytime. Our pricing guide shows how to compare the total cost of any platform.
Is it the right fit for your nonprofit?
Assocializa is organized around members. It fits nonprofits that have members and want dues, donations and governance in one place. It is not built for homeowners' or condo associations. We follow Brazil's General Data Protection Law (LGPD), and the web platform is available in English, Spanish and Portuguese.
More than 200 organizations work with us, including the World Academy of Neurological Surgery, the Latin American Thyroid Society and the Red Iberoamericana de Farmacometría. Meet them on our customers page. If your nonprofit also runs a congress or needs a new website, we also build an event platform for congresses, event apps and websites for associations.
How to get started
- Map your groups. List your members, donors and volunteers, and the categories each group needs.
- Send us your data. We import your spreadsheets or an export from your current system.
- Set dues and reminders. Define dues per category and when reminders go out.
- Open the portal to members. Tell them where to pay, find receipts and open their membership card.
- Bring the board in. Set board permissions per module, so you decide who can access each area.
