Labor union software, also called union membership software, is the system a union uses to keep its member records, collect dues, communicate with members and run votes and elections. Assocializa, association management software by Softaliza, covers this for unions and federations: member records and dues by category on the Essential plan (USD 60 per month), plus secret-ballot online voting with an audit trail and full cash flow for the board on the Advanced plan (USD 120 per month).
What labor union software does
A union runs on trust. Members pay dues and expect the board to account for the money, keep them informed and let them decide the important questions. Union software supports each of those commitments:
- Member records that show who belongs to the union, in which category and with what status.
- Dues collection by category, with reminders and receipts.
- Communication that reaches the right members at the right time.
- Voting members can trust, with a secret ballot and a record of how the vote was run.
- Financial transparency, so the board can show where the money comes from and where it goes.
Labor union software is a kind of association management software. Assocializa is built for member-based organizations: unions, federations, professional associations, medical and scientific societies and clubs. It is not built for homeowners' or condo associations.
Member records for unions and federations
Every union has its own structure: active members, retirees, apprentices or any other category its bylaws define. In Assocializa, member records are organized by category, and each category can have its own custom fields and required documents, so each group provides only what applies to it.
Your team can filter members by category, status and city and export the list to Excel, for an assembly, a regional meeting or a report to the board. Members keep their details up to date in the member portal and carry a digital membership card with a QR code that shows their status in real time, which they can add to Apple Wallet or Google Wallet.
Board permissions are set per module, so each director sees only the parts of the platform their role requires. For a closer look at member records, see our guide to the membership database.
Dues by category
Dues keep a union running, and collecting them by hand takes much of the office's time. In Assocializa:
- Set up categories and dues. Each category has its own dues, billed annually or monthly.
- Charges are generated by category. Each member receives the charge that matches their category.
- Members pay online. Recurring payments are optional, so members who opt in do not need to remember.
- Reminders go out on your schedule. The union decides when reminders are sent, before and after the due date.
- History and receipts stay in the portal. Members see their payment history and receipts in the member portal, and the office sees who is up to date.
Payment methods depend on the country and the payment provider. In Brazil, members can pay by Pix, boleto or card. Our international clients collect dues by card in US dollars, and for other countries our team confirms what is available. Read more in our guide to automated dues billing.
Communication with members
A union that only writes to members when dues are due misses the chance to show what membership is for. Assocializa gives you several channels in the same platform:
- Segmented email. Email members from the dashboard and send each message only to the members it concerns, such as one category.
- Automatic notifications. Welcome messages, due date notices and birthday greetings go out on their own.
- News timeline (Advanced). Post updates on negotiations, meetings and campaigns where members already log in.
- Community forum with moderation (Advanced). Give members a place to discuss, under rules the union sets.
- Document library (Advanced). Share bylaws, agreements and minutes with members whose dues are up to date.
Voting and elections with secret ballot
Elections and assemblies are where a union's legitimacy is tested. On the Advanced plan, Assocializa offers auditable online voting:
- Secret ballot. Each member's choice stays private.
- Audit trail. The vote leaves a record of how it was conducted, so the board can answer questions after the result.
- Automatically generated minutes. The minutes of the vote are generated by the platform, so nobody has to write them from scratch.
How to run an online vote
- Check your rules. Confirm that your bylaws and the labor law that applies to your union allow online voting, and who is eligible to vote.
- Announce the vote. Tell members what is being decided and when voting opens and closes, using segmented email and the news timeline.
- Members vote online. They log in with the same account they use for dues and their membership card, from a phone or a computer.
- Publish the result. Share the result with the generated minutes, and keep the audit trail for any questions that come later.
Cash flow for the board
Members expect the board to account for their dues. On the Advanced plan, Assocializa adds full cash flow: income and expenses organized by category, with an annual target to measure progress against. The treasurer follows the year as it happens and brings a clear picture of income, expenses and the annual target to board meetings and assemblies.
On every plan, the tracking dashboard gives the board a quick view of members and dues.
Essential or Advanced: which plan fits your union
Essential, USD 60 per month, is the starting point for any union that wants to organize its members and collect dues:
- Member portal and digital membership card with QR code and wallet pass
- Member records by category, with custom fields and documents per category
- Dues by category, annual or monthly, with optional recurring payments and reminders
- Payment history and receipts in the member portal
- Donations from members and the public
- Segmented email and automatic notifications
- Filters by category, status and city, with export to Excel
- Tracking dashboard and board permissions per module
- Data protection under Brazil's LGPD
Advanced, USD 120 per month, adds what a union needs for governance and engagement:
- Auditable online voting with secret ballot, audit trail and automatically generated minutes
- Full cash flow with income, expenses, categories and an annual target
- Courses, activities and events with online registration and automatic member pricing
- Integrated calendar with reminders and certificates in the member portal
- Document library for members whose dues are up to date
- News timeline, community forum with moderation and an online store integrated with finance
Both prices are fixed, whatever the number of members. You can upgrade or downgrade anytime, so a union can start on Essential and move to Advanced before its next election. If your union needs something the platform does not have, we can build a custom module.
